Step-by-Step Upload Process

1. Access Upload Feature

From your Supanote dashboard:

  1. Locate Upload Audio at the top of your dashboard

  2. Click to begin the upload process

2. File Upload and Configuration

Upload process:

  1. Click Choose File and select your audio recording

  2. Select your client from the dropdown menu (or create a new client profile)

  3. Choose your preferred note template

  4. Click Create Note to begin processing

Critical: Keep your browser tab open during upload and processing to ensure successful note generation. Closing the window prematurely may interrupt the process.

3. Processing and Review

After upload completion:

  1. Your generated note appears in Notes Pending Review

  2. Click View Note to review the AI-generated draft

  3. Make refinements using:

    • Manual editing for direct text modifications

    • AI Editor for specific adjustments ("Align with CBT approach," "Reduce to 300 words," "Add treatment planning section")

  4. Click Mark as Reviewed to finalize documentation

Audio Quality Recommendations

  • Use headsets or external microphones when possible for clearer audio capture

  • Record in quiet environments to minimize background noise interference

  • Maintain consistent volume levels throughout the session

  • Position recording device appropriately to capture both therapist and client voices clearly

  • Process recordings promptly while session details remain fresh in memory

  • Batch upload multiple sessions to clear documentation backlogs efficiently

  • Review generated notes thoroughly before finalizing to ensure clinical accuracy

Troubleshooting Common Issues

Upload Problems

  • Verify file format compatibility (MP3, M4A, WAV)

  • Check internet connection stability during upload process

  • Ensure sufficient file permissions on your device

  • Try reducing file size if upload fails repeatedly

Processing Delays

  • Large files require longer processing time - allow additional minutes for completion

  • Multiple simultaneous uploads may slow processing speed

  • Browser tab closure interrupts processing - keep window open until completion
